Exhibiting at Solar Power Southeast is an investment, and we want you to get a big return. These resources will help to make your job easier and get the most bang for your buck onsite. General information, dates, deadlines, and how to promote your participation can all be found on this page.


General Information

Exhibitor Resource Manual

The Exhibitor Resource Manual contains important, comprehensive information regarding logistics, show requirements, vendors, deadlines, and booth rules and regulations. All exhibitors are expected to read the resource manual.

Registration

With your booth, you receive 2 complimentary full conference registrations that include access to the networking event on Wednesday, May 29. In order to redeem your passes, you need to enter a unique promo code in the registration form. You will receive your codes shortly after you sign your booth space contract. If you cannot remember your registration promo codes, please contact Jessica Hill at jhill@sets.solar or 703-738-9463.

All other staff working the event must purchase a pass at the regular rate. Prices increase after April 17, 2019.

Badges can be picked up on Wednesday, May 29 from 8:00 am – 5:00 pm, or Thursday, May 30 from 8:00 am – 11:30 am.

Housing

Make sure to book your housing early, as discounted rooms in our housing block are limited. The housing deadline is Wednesday, May 8 at 11:59 pm EST, or when the block sells out, whichever comes first.

Exhibitor Service Kit

GES is the official general service contractor and exclusive provider for material handling/drayage and shipping. In the service kit, you can make arrangements for your shipment and material handling/drayage; learn about labor regulations and guidelines; and submit your Exhibitor Appointed Contractor (EAC) notice of intent and insurance.

Mandatory Show Management Forms

Below is a list of mandatory forms that every exhibitor must submit. The deadline to submit forms is Thursday, May 2, 2019. Please review the full list of deadlines in Appendix A of the Exhibitor Resource Manual.

Map Your Show (MYS) is the official provider for the event floor plan and exhibitor search tool. Please log in and update your company profile, as this information is already public to attendees and will be listed in the mobile app. Update your profile.

Exhibition Location

The exhibits will be located in the Rooms A411-412 at the Georgia World Congress Center, located at 285 Andrew Young International Blvd NW, Atlanta, GA 30313. Specific questions regarding the exhibit hall, freight docks, and freight doors should be directed to GES at 800-801-7648.

Shipping

* Direct to show site shipments will not be accepted at the Georgia World Congress Center. All exhibit materials must be sent in advance to the GES warehouse.

The Georgia World Congress Center does not have the capabilities to receive nor does it have adequate storage space for Exhibitor materials. Any materials shipped to the Georgia World Congress Center will be consigned to GES and the exhibiting company will be billed the appropriate material handling charges by GES. Move-In/Move-Out

Move-in: Tuesday, May 28, 2:00 pm – 6:00 pm and Wednesday, May 29,  7:00 am – 10:00 am

Move-out: Wednesday, May 30, 12:00 pm - 3:30 pm

*Your booth must be completely set by 10:15 am on Wednesday, May 29.

Booth Package

  • 8 ft. high blue back-drape and 3 ft. high blue side-drape (included for linear booths)
  • Paper identification sign with company name
  • (1) 6-foot table and (2) chairs per 100 sq. ft. of booth space purchased
  • (1) electrical outlet (upon request)
  • (2) tickets to the networking event on the evening of Wednesday, May 29
  • Exhibitor listing on the event website and mobile app
  • Exhibitor Marketing Toolkit with custom event banners, social media posts, and a customer invitation letter

Booth Space & Design

Any solid object taller than 4 ft. must be placed in the back half (back 3 ft.) of your booth. There is a maximum booth height of 8 ft. A simple booth design, with items such as a branded tablecloth, a pop-up banner, promotional materials, etc. is highly recommended. Security

All reasonable precautions will be taken to protect your equipment and displays during installation, show hours, and dismantling. Show Management, the General Service Contractor, and the exhibit facility management are not responsible for the safety of property from theft, damage by fire, accident, or other causes. All property of the exhibitor is understood to be under exhibitor control in transit to, from, and/or within the exhibit hall. Exhibitors are responsible for their own property and should lock or remove any equipment after-hours.

The hall will be locked overnight; however, we highly recommend you lock or remove equipment from your booth when you are not present and overnight. Please refer to the exhibitor contract you signed, to learn more about our liability terms and conditions.
